The Portobello Bookshop securely stores your data online via our secure custom-built website and also through our internal stock management system. 

If you choose to contact us via our contact form, this data will be held within our business email account which is only accessed by our team and requires multiple layers of authentication as an additional security measure. 

If you choose to contact us via any of our social media channels, a record of this correspondence may be held within the channel which was used. 

If you order a book for Click & Collect, your data will be held in paper format for a short period of time. Once you have collected the book, the paper will be shredded and disposed of securely. Otherwise, we do not keep records of customer data in paper formats.

The Portobello Bookshop will keep your personal identification information until you opt out. When you opt out, we will delete your data immediately.


06. Third Parties

To deliver the best possible service to our customers, we make use of third party services in various aspects of our business. If you buy with us online, your card details will be collected via Stripe or Paypal but no record of your payment information will be held directly by The Portobello Bookshop. Our website will offer you the option to save your payment information for future use but once again, this information will not be accessible to our team. 

We produce our regular customer newsletter using Mailchimp. Mailchimp will have a secure record of your contact information and will use your engagement with our newsletter for analytic purposes (primarily to tell us how many people are receiving and opening our newsletters).

If you register for our events online, we use the service Crowdcast to share the Livestream with you at home. They will have a record of basic information, primarily your name and email address.

To post your orders, we share your data with Royal Mail and on occasion, other trusted courier companies. 

We only use third party services that we feel are secure and improve the services we are able to offer customers. To the best of our knowledge, they are all fully compliant with GDPR guidelines and respect the privacy of customers in line with the way our own company wishes to operate. 


07. Marketing

We produce a regular newsletter (mentioned in section 6) which customers can sign up to if they choose. We will never register customers for this without their consent. We will only send you this newsletter once you have opted in and you are able to opt out of receiving this at any time. The newsletter contains general information about events, new releases, job advertisements and important or exciting occasions such as World Book Day. 

If you have purchased a subscription for our subscription box service, we will contact you with specific information regarding this service. You maintain the right to opt out of this form of contact. 

Occasionally, we will send you a personalised newsletter or email based on books, events or other products which we think might interest you based on your previous purchases. Again, customers are entitled to opt out of this form of contact at any time.

When we hire new employees, applications are sent to our secure email address mentioned in section 4. Under these circumstances, your personal information will be held for a short period of time until we have assessed your suitability for the role. It is then removed and we will not use the information supplied to us in this scenario for any other purpose.
